Who this covers

This policy explains how QuoteFlow handles information for contractors who hold an account, and for the homeowners and clients they invite to view a quote, message, or pay an invoice.

Information we collect

Account information: your name, business name, email address, phone number, business address, license and entity details you enter in settings.

Work content: quotes, invoices, line items, photos, drawings you upload for take-offs, schedules, and messages between you and your customers.

Customer records you create: the names, addresses, phone numbers, and emails of the clients you quote and bill.

Usage and technical data: log records, device and browser information, and feature usage needed to run, secure, and improve the Service.

How we use information

To provide the Service — generating estimates, sending quotes and invoices, delivering notifications, scheduling work, and processing payments.

To secure accounts, prevent abuse, and troubleshoot problems.

To communicate with you about your account, billing, and changes to the Service.

Who we share it with

Service providers that operate parts of the platform on our behalf — hosting and database infrastructure, email delivery, payment processing, and the AI providers that process drawings and text you submit to those features. They may only use the information to perform services for us.

We do not sell personal information.

We may disclose information where required by law, or to protect the rights and safety of users and the public.

Your customers' information

When you add a client and send them a quote, you decide what is collected and how it is used. For that information you are the controller and QuoteFlow acts as your processor, handling it under your instructions and this policy.

Retention

We keep account and work content for as long as your account is active and for a reasonable period afterwards so you can export or restore it, and longer where records are needed for tax, accounting, or legal reasons. You can delete individual records from within the app at any time.

Security

Data is transmitted over encrypted connections and access is restricted per account, so one contractor's workspace is not visible to another. No system can promise perfect security; tell us right away if you suspect a problem with your account.

Your choices

You can review and update your company information in settings, adjust email and SMS notification preferences, and request a copy or deletion of your account data by contacting us.

Children

The Service is intended for businesses and is not directed to children under 13.

Changes

We may update this policy. Material changes will be posted here with a new effective date.
